How the e-conomic integration works
What the integration transfers between your online shop and e-conomic, when it happens, and what you need to use it.
On this page
The integration makes sure that orders from your online shop reach e-conomic (the Danish online accounting system), so you don't have to type them in again. For an order to be transferred, the customer and the products must also exist in e-conomic. That is why the integration creates them at the same time.
In the other direction, the integration can fetch product data from e-conomic, so your products in the shop match what you have entered in e-conomic.
What you need
- A Golden Planet plan with the e-conomic integration. See which plans include it. If you have a free demo, you can set the integration up completely there. Just remember to choose a plan with the e-conomic integration when you order your real shop.
- An e-conomic subscription with access to integrations (API). According to e-conomic's price page (opens in a new tab), it is included in Plus, Smart and Komplet, but not in Basis. If you have Basis, the integration cannot connect to your accounts.
From your shop to e-conomic
- Orders are transferred as an order or as an invoice in e-conomic, depending on how you set it up. See the ways you can invoice.
- Customers are created as customers in e-conomic the first time they buy.
- Products are created in e-conomic with the product number they have in your shop.
This happens automatically when an order, customer or product is created or changed in your shop. You can also send one or more of them yourself from the list of orders, customers or products.
If the customer has entered a requisition number on the order, it is included in the field "Tekst 1" on the order in e-conomic.
From e-conomic to your shop
You choose which product data should be fetched from e-conomic, for example the price or the cost price. The integration fetches it every 15 minutes. Each time, it fetches all changes from the last hour, so a short break in the connection to e-conomic doesn't mean a change is missed.
Data is only fetched into products that already exist in your shop with the same product number. The integration does not create new products from e-conomic. The products in e-conomic hold so little information compared with what an online shop needs that we haven't seen any benefit in it.
Stock levels cannot be fetched from e-conomic. e-conomic closed its stock module on 31 December 2023 and no longer has stock management, so you manage stock in your shop.
How to see in e-conomic what comes from your shop
The integration's settings include a word that identifies your shop. By default, it is your shop's domain name. The integration combines it with the shop's own number for the order or customer, separated by a colon, for example myshop.com:1042.
- On orders, it is in the field "Øvrige reference" (other reference).
- On customers, it is on the customer's contact person in the field "ID (e-faktura)" (the e-invoice ID). You find the contact persons under Salg > Kunder > Kunder (Sales > Customers > Customers), where you click "Flere" (More) next to the customer and choose "Kontaktpersoner" (Contact persons).
This is how the integration finds the right customer or order again. It looks at this reference, not at the number in e-conomic, which is not always the same as in your shop.
Find a customer from e-conomic in your shop
The easiest way is to search for the customer's email address in your shop. An email address can only belong to one customer in your shop.
You can also find the customer's number in your shop in the field "ID (e-faktura)" on the contact person in e-conomic, as described above.
Customers who already exist in e-conomic
If you had customers in e-conomic before you started the integration, they are not linked to the customers in your shop. When they buy in your shop, they are created as new customers in e-conomic.
If several customers in your shop are to be invoiced to one customer in e-conomic, for example a business customer with several buyers, you can combine them into one customer.
Variants
e-conomic has no variants. That is why each variant becomes a separate product in e-conomic with its own product number.
This requires each variant to have its own product number in your shop. When a variant is transferred, the integration finds it by its product number and uses the shared information from the main product.
The product's name in e-conomic becomes the main product's name followed by the variant's attribute and value in brackets, for example the size attribute and the size itself. That way you can still see in e-conomic that it is a variant.
Several shops on the same e-conomic
You can connect as many online shops as you like to the same e-conomic agreement. They then use the same products and customers, and the orders go into the same accounts with consecutive numbers.
Each shop must have its own word in the setting that identifies the shop, or they may overwrite each other's data. If you sell to several countries, the word could be the name of the country, for example.
Create the products in each shop that are to be sold there. As soon as the integration sees a product number that exists in e-conomic, it fetches the data you have chosen, so the product is the same as in e-conomic.
